Dancehague – Terms and Conditions for Studio Bookers

These Terms and Conditions apply to all individuals and organizations (“Bookers”) who reserve and use studio spaces facilitated by Stichting Dancehague (“Dancehague”). By making a booking, the Booker agrees to the following:

1. Booking and Rental

1.1. Availability

All bookings are subject to studio availability. Dancehague strives to maintain accurate and up-to-date availability via our booking system. However, availability may change, and we reserve the right to modify or cancel bookings if necessary. Full refund is applicable in case of cancellation by Dancehague.

1.2. Reservation Confirmation

A booking is considered confirmed once you receive a confirmation email or confirmation via WhatsApp. It is your responsibility to verify that all booking details — including date, time, and studio are correct.

1.3. Rental Period

The rental period begins and ends at the times stated in your booking confirmation. Please arrive and vacate the studio promptly to ensure smooth transitions between users. Early access is only allowed 15 minutes prior for the first user of the day. Exiting later than 15 minutes after the booked time will result in:

  • A 30-minute charge per 15 min
  • A €5 administrative fee per session

To stay longer, an additional time slot must be booked.

1.4. Cancellation and Changes

  • Standard bookings may be cancelled up to 48 hours in advance for a full refund.
  • Cancellations within 48 hours are non-refundable.

Special Rules for High-Volume Bookers:

If a user:

  • Has more than 2 bookings, or
  • The total booking value exceeds €100,
    then the following applies:
  • All bookings for the following month are locked on the 20th.
  • Invoices are issued by the 22th and must be paid by the 27th.
  • These bookings are non-refundable.

Post-20th bookings (that meet the above criteria) are invoiced within 2 business days of the booking creation date and must be paid within 5 days or before the booking date, whichever comes first.

2. Studio Usage

2.1. Purpose of Use

Studios may only be used for dance, yoga, movement practices, rehearsals, creative workshops or community sessions. Other activities require prior written approval.

2.2. Occupancy Limits

Each studio has a maximum occupancy limit shared during booking. Bookers must ensure the number of users does not exceed this limit to comply with safety and local regulations.

2.3. Studio Care and Responsibility

Bookers are expected to treat the space with care. Bookers are responsible for:

  • Cleaning up after use
  • Returning equipment/furniture to original positions
  • Turning off lights, ventilation, AC/fans

Failure to comply may lead to:

  • Feedback notice
  • Additional charges of €5 per booking
  • Repeat violations may impact future access

2.4. Safety and Liability

While Dancehague maintains safe spaces, Bookers take full responsibility for their own safety and that of their participants. We advise regular users to carry personal liability insurance. Dancehague is not liable for:

  • Accidents, injuries, or health-related issues
  • Loss or theft of property

3. Payments and Fees

3.1. Pricing

Studio rates and applicable fees are provided during the booking process. Prices may change without notice, but existing confirmed bookings will be honoured.

3.2. Payment Methods

Payments must be made via our designated payment system or through invoice by bank transfer. For invoiced bookings:

  • Invoices are sent by email
  • Monthly invoices must be paid by the 27th
  • Ad hoc invoices must be paid within 5 days or before the studio use date

3.3. Taxes

All prices are shown inclusive of VAT unless otherwise stated. Additional local taxes or surcharges (if applicable) will be included in the invoice.

4. General Terms

4.1. Privacy

Dancehague respects your privacy. Your personal information will be handled in accordance with our privacy policy. By using our services, you consent to the collection and use of your data for booking and communication purposes.

4.2. Code of Conduct

  • Discrimination, harassment, or inappropriate conduct is not tolerated.
  • No smoking, alcohol, or illegal substances are allowed.
  • No animals are permitted unless approved in advance.

4.3. Modification and Termination

Dancehague reserves the right to modify, suspend, or discontinue services at any time. Any changes to terms will be communicated via the website or email.

4.4. Governing Law

These terms are governed by Dutch law. Any disputes will be handled by the courts in The Hague.
